How to apply IEC online for proprietorship?

IEC for proprietorship

How to apply IEC online for proprietorship is a fully digital process on the DGFT portal (dgft.gov.in) that takes just 1 to 2 working days and costs ₹500. A sole proprietor applies on personal PAN and Aadhaar, no company registration needed, and the IEC carries lifetime validity.

What is an IEC and why a proprietorship needs one?

The Import Export Code (IEC) is a 10-digit business identification number issued by the Directorate General of Foreign Trade (DGFT), Ministry of Commerce and Industry, under the Foreign Trade (Development and Regulation) Act, 1992. No business in India can legally import or export goods without it.

For a proprietorship, the IEC is the simplest entry point into international trade. Because there is no separate legal entity, the proprietor applies on the strength of their personal PAN and Aadhaar, and that PAN effectively becomes the IEC. You need an IEC the moment you:

  • Clear an import consignment through Customs (it must appear on the Bill of Entry)
  • Ship an export consignment (it must appear on the Shipping Bill)
  • Receive or remit foreign currency through your bank for trade
  • Claim any DGFT export incentive such as RoDTEP or Advance Authorisation

Without an active IEC, shipments are held at the port and bank remittances are blocked. See our IEC registration service to avoid this entirely.

Who is eligible and documents required for IEC for a proprietorship

A sole proprietor is eligible to apply directly. Before you start, keep these ready in scanned PDF or JPEG format (each file under 5 MB):

  • PAN card of the proprietor (this becomes the basis of the IEC)
  • Aadhaar card of the proprietor, used for OTP-based e-signing
  • Address proof of the business: the latest electricity bill, telephone bill, rent or lease agreement, or sale deed. If rented, attach a No Objection Certificate from the owner.
  • Bank proof: a cancelled cheque or a bank certificate showing the firm or proprietor’s name, account number and IFSC
  • Passport-size photograph of the proprietor (recent)
  • An active bank account in the firm’s or proprietor’s name

GST registration is not mandatory to obtain an IEC, though most commercial importers and exporters will need a GSTIN at the customs clearance stage. Once your IEC is active, you may also need ICEGATE registration and an AD Code at your port of clearance.

How to Apply IEC Online for Proprietorship: Step-by-Step DGFT Process (2026)

Step 1: Register on the DGFT portal

Go to www.dgft.gov.in and register using the proprietor’s PAN, email ID and mobile number. Verify both through the OTPs sent to your email and phone, then set your password.

Step 2: Log in and start a fresh application

Log in and navigate to Services > IEC Profile Management > Apply for IEC, then click “Start Fresh Application.” The portal auto-pulls your entity details from the Income Tax database against your PAN.

Step 3: Enter proprietorship details

Select “Proprietorship” as the entity type. Enter the proprietor’s name, PAN, business address, nature of business (manufacturer, merchant exporter or service exporter) and active bank account details.

Step 4: Upload the required documents

Upload your PAN, business address proof and cancelled cheque or bank certificate. The portal validates file type and size on upload, so keep each scan clean and under 5 MB.

Step 5: Digital authentication

E-sign the application using Aadhaar-based OTP, the simplest route for proprietors, or a DGFT Digital Signature Certificate (DSC) if you prefer.

Step 6: Pay the ₹500 government fee

Pay the flat â‚¹500 application fee on the Bharatkosh gateway via UPI, net banking, or debit or credit card. Download the receipt for your records.

Step 7: Submit and download your IEC

On submission, DGFT cross-checks your details with the Income Tax database. If everything verifies cleanly, the e-IEC certificate is generated and emailed within 1 to 2 working days and can be downloaded from the portal. It carries a QR code for online verification and has lifetime validity. If your IEC ever lapses later, we also handle IEC renewal and reactivation.

The annual IEC update you must not miss

Since 2021, every IEC holder, including proprietorships, must electronically update or confirm IEC details every year between 1 April and 30 June, even when nothing has changed. Miss the window and DGFT auto-deactivates your IEC, which blocks every Bill of Entry, Shipping Bill and RoDTEP claim until you complete the late update. The update itself is free. Our team handles this as part of our IEC renewal service.

Common reasons a proprietorship IEC application gets delayed

  • Name mismatch between PAN, bank records and the application
  • Address proof older than the accepted period, or missing the owner’s NOC for rented premises
  • Cancelled cheque that does not show the proprietor’s name legibly
  • Aadhaar mobile number not linked, so the OTP e-sign fails

Getting any of these wrong means a rejection and a fresh start. This is exactly where professional filing pays for itself.

Frequently asked questions.

Q1. Can a sole proprietor apply for IEC on personal PAN?

Yes. A sole proprietor applies on the strength of their personal PAN and Aadhaar; no separate company or LLP registration is required. The IEC stays valid even if the proprietorship later converts to an LLP or company, provided DGFT is notified.

Q2. Can a proprietorship get an IEC code?

Yes. A proprietorship is fully eligible for an IEC. The application is filed in the proprietor’s name using their PAN, which becomes the basis of the 10-digit IEC, and a single proprietorship needs only one IEC across all its branches.

Q3. Can we apply for an IEC code online?

Yes. The entire IEC application is online through the DGFT portal at dgft.gov.in. There is no physical paperwork or office visit. You register, fill the form, upload documents, pay the ₹500 fee and e-sign with Aadhaar OTP, all from one portal.

Q4. How long does IEC registration take for a proprietorship?

The e-IEC certificate is usually issued within 1 to 2 working days of submission, provided the documents are clean and details match your PAN.

Q5. What is the government fee for IEC registration?

A flat ₹500, paid online through the Bharatkosh gateway. There is no renewal fee because the IEC has lifetime validity, and the mandatory annual update is also free.

Q6. Is GST registration required for an IEC?

No, GST is not a precondition for getting an IEC. However, commercial importers and exporters will generally need a GSTIN at the customs clearance stage.

Q7. Can I have more than one IEC on the same PAN?

No. Only one IEC is issued per PAN. A proprietorship with multiple branches operates them all under the single IEC linked to the proprietor’s PAN.

Q8. What happens if I miss the annual IEC update?

DGFT auto-deactivates the IEC, blocking imports, exports and incentive claims until you complete the late update (which remains free), followed by a short technical hold. Our IEC renewal team can reactivate it for you.
