Getting a logistics firm filing on ICEGATE with a Class 3 DSC

What a Digital Signature Certificate is
A Digital Signature Certificate is a legally recognised electronic signature under the IT Act, issued only by Certifying Authorities licensed by the Controller of Certifying Authorities. It is what lets a business sign and file on government portals like ICEGATE, DGFT, GST, MCA and the Income Tax site.
Two things trip most businesses up. Since the start of 2021 the older Class 2 certificate has been retired, so Class 3 is now the only option for these filings. And there is a real difference between an Individual DSC and an Organization DSC. Customs and DGFT work needs the right one, tied to the correct authorised signatory. The certificate also lives on a secure USB crypto token rather than a file you can email, so the token and the identity verification are part of the timeline.
The client and the challenge
Profile: a logistics solutions provider that needed to file on the ICEGATE customs portal, but whose in-house team had stalled partway through the DSC application.
- The right certificate. They needed a Class 3 Organization DSC tied to the correct authorised signatory, not an individual certificate.
- A stalled application. The process kept bouncing on documentation and identity verification, and every electronic filing was waiting on it.
- The step after issuance. Even once issued, a DSC has to be registered on ICEGATE against the IEC before it can actually be used, and that step is easy to miss.

- Selected a licensed Certifying Authority and prepared the organisation documents and the authorisation in the signatory’s name.
- Ran the identity and organisation verification cleanly, by eKYC and video, so it did not bounce back.
- Had the certificate issued onto a secure USB token and delivered to the signatory.
- Registered the DSC on ICEGATE against their IEC so filings worked from day one.

- Filings live. Registered on ICEGATE and usable immediately, so their customs filing could start.
